PROCESS Our process

Diagnose, build, ramp, operate. In that order.

We diagnose before we quote, build before we send, and ramp against measured placement rather than a calendar. The stage everyone wants to skip is the third, and it is the one that decides whether the other three were worth doing.

What it covers
  • Diagnose before quoting
  • You keep what we build
  • Ramp against measurement
  • We say no in writing
The shape of it

Diagnose, build, ramp, operate.

The short answer

Every engagement runs in the same four stages, and the order does not flex. We diagnose before we quote, build before we send, ramp against measured placement rather than a calendar, and only then operate at volume. The stage most clients want to skip is the third, and it is the one that decides whether the other three were worth doing.

The four stages

What happens, and roughly when.

1

Diagnose

A free 30-minute call, and a written audit where the problem needs measuring rather than describing. We will not quote a build before we know what is wrong, because the most common finding is that the expensive fix was not the needed one.

2

Build

Domains, authentication, IPs and warmup. Registered to you, configured properly, separated from the mail your business depends on. Roughly two weeks of setup before anything sends.

3

Ramp

Four to six weeks of warmup with volume rising only when measured placement says it can. This is the stage everyone asks to shorten and the one we will not.

4

Operate

Full volume, with monitoring underneath. Either you run it, we watch it, or we run the whole thing. That is a decision made at this point, not at the start.

How we work

Four commitments that shape every engagement.

01

We say no

To data you cannot source, to timelines that are not achievable, and to work we do not think will succeed. What we decline is on Our Standard, in writing.

02

We tell you early

When something is not working, at the point we notice rather than at the point it is undeniable. An uncomfortable call in week three is cheaper than a comfortable one in month three.

03

You keep what we build

Domains are registered to you, configuration is yours, and the data stays yours. Nothing we build stops working because you stopped being a customer.

04

We do not guarantee results

Your results depend on your offer, your market and your timing, none of which are ours to control. We are accountable for placement, infrastructure, ramp discipline and honesty about all three.

Questions

Our process, answered.

How long before we can start sending?
Roughly four to six weeks of build, then a ramp to full volume. The build length is set by the 30 days sending domains spend aging with nothing sent from them, with setup, data verification and sequence writing all happening alongside that clock. Sending starts at low volume as soon as the aging period is done, so it is not weeks of silence, but it is a couple of months before you are at the number you actually want. Anyone offering full volume next week is selling you a problem.
Why won't you quote before diagnosing?
Because the most common outcome of a diagnosis is that the expensive fix was not the needed one. Quoting a build for someone whose real problem is a misconfigured DMARC record would be easy and would not survive contact with the result.
What is Our Standard?
A written list of what we require before taking work on and what we decline outright. It exists so both sides find out early rather than three weeks in. It has its own page: the Sending Standard.
Do you guarantee results?
No, and we would be careful with anyone who does. Your results depend on your offer, your market and your timing. What we are accountable for is inbox placement verified before the first live send, infrastructure built and warmed properly, reputation and blocklist handling, disciplined ramp management, and telling you early when something is not working.
What if we send fine but get no replies?
Then it probably is not a deliverability problem, and knowing that quickly is worth a lot. Good placement with no replies points at the offer, the call to action, the sequence or the targeting. Our consultation covers campaign performance as well as deliverability precisely because the symptoms look identical from outside.
Can we stop after the build?
Yes. Plenty of clients take the build and run everything themselves on the platform afterwards. The infrastructure is registered to you and does not depend on an ongoing relationship, which is deliberate.
Get started

Start at stage one.

It is a free 30-minute call and it is where every engagement begins, including the ones that end with us telling you to stay where you are.

  • We will not quote a build before we know what is wrong
  • An honest timeline, including when it is longer than you hoped
  • Everything we build is registered to you

Prefer to talk? 1-800-604-5058

We reply within one business day. No sequence, no drip.

The order is the whole method.

Every failed program we get called into skipped one of these four stages, and it is almost always the third. Start with the free call.
